Legal Secretary
We are looking for a full-time permanent Legal Secretary who is looking for an opportunity to grow their career within our Legal Services Branch. This opportunity will be of interest to those who are organized, detail-oriented, adaptable, enjoy learning and possess a “can-do” attitude.
Primary responsibilities will consist of:
- providing support for a team of commercial lawyers from the initiation of contract documents to their finalization, including: contracts intake service, reviewing updated versions of contracts against draft versions to ensure that the contract is complete and that no unauthorized changes have been made; maintaining the contracts database to reflect current inventory of contracts, and modifying contract documents as instructed;
- acting as a point of contact to provide information/assistance to clients; and
- establishing and maintaining filing systems, utilizing knowledge of legal records and procedures and frequently controlling confidential materials and documents.
The successful candidate will also have responsibility for:
- preparing and processing correspondence and legal documents; filing applicable court documents in compliance with Rule of Civil Procedure;
- participating in debt collection files;
- processing documents relating to bankruptcy, receivership, proposal and CCAA proceedings;
- assembling various legal materials for Legal Counsel’s review and use;
- conducting Personal Property Searches and Corporate searches;
- screening and distributing Workplace Safety and Insurance Appeals Tribunal decisions and producing WSIAT Appeal Application Letters for a team of Legal/Policy Analysts;
- reviewing referred claims to determine if the nature and type of accident requires that a third party election form be issued to workers/survivors;
- assisting with the processing of garnishments;
- coordinating the issuance of summons to witnesses to attend meetings/examinations;
- reviewing accounts and expenses submitted for payment and bringing any irregularities to Legal Counsel’s attention;
- preparing surplus calculations and disbursing settlement funds;
- commissioning documents; and
- maintaining a law library.
Position Requirements:
- Knowledge of legal terminology and secretarial/clerical practices/procedures to open and close legal files, set up and maintain filing and follow-up systems, etc. normally acquired through a recognized legal secretarial program and/or experience in a related environment.
- Computer skills including the ability to use word processing to prepare and edit documents such as contracts and to access on-line systems, including the legal services database.
- Verbal communication and interpersonal skills including the ability to interact with both external and internal clients including workers, employers, lawyers, government agencies and private investigation firms using tact, diplomacy and the ability to work independently as well as in a team.
- Knowledge and practical skills and experience in one or more of the following areas of civil litigation, such as debt collection, class action and personal injury.
- Mathematical skills including the ability to perform standard calculations such as adding, subtracting, dividing, percentages, etc. and maintaining statistics.
- Written communication skills to compose standard memos such as disbursement of settlement funds and requests for WSIB expense memos, prepare routine correspondence and statistical reports and complete legal forms and templates.
- Organizational skills to schedule, prioritize and adjust own work, meet deadlines and co-ordinate the scheduling of meetings.
